The Associate Director, Project Management organizes, coordinates, and leads programs consisting of multiple large, high-profile projects and stakeholder groups, ensuring they are completed on time, within budget, and at the highest level of quality. Additionally, the Associate Director, Project Management will be responsible for ensuring requirements align with Client and Program objectives and strategy.

The Associate Director, Project Management also assists the Director of Project Management with PMO and operations management and definition, as well as management of other producers.

The ideal candidate will be an excellent leader and will have experience in managing staff of different disciplines and across multiple offices and countries to produce results in a timely manner. They will also be able to develop efficient strategies and tactics around operational improvements. The Associate Director, Project Management must have an eye for great work and for talent, be able to identify and advocate for innovative ideas and be a superior as well as inspirational leader to teams.  In addition, the Associate Director, Project Management is responsible for leading a team of Project Managers across an account.

The Associate Director, Project Management reports to the Director of Project Management and will play an important role in developing and leading broad initiatives to improve processes across all areas of Project Management, and will have direct input and impact, along with the other Managers to define and implement improvements in the Project Management department.


Lead, Evaluate and Mentor a Team of Project Managers

  • Possess a good and current understanding of each project managed within related teams including status, next steps, outstanding issues to resolve, internal and external challenges.
  • Assist Project Managers through mentoring, training and best practices recommendations.
  • Provide clear guidance and advice to teams, help isolate areas of risk that would otherwise go unnoticed and provide techniques and suggestions to improve certain aspects of their day-to-day jobs or their overall approach to project management.
  • Monitor team’s overall bandwidth and workload; ensure optimal efficiency while protecting work/life balance.
  • Organize and monitor inter-connected projects, and coordinate cross-project activities, with/within team of Project Managers.

Oversee All Projects across Client Account

  • The Associate Director, Project Management oversees the planning, scheduling and related project activities, applying creative and strategic thinking, technical, and project management skills to satisfy project requirements.
  • Accountable for the execution, management and quality control of projects from concept to completion, ensuring client satisfaction, meeting all timeline milestones and delivering within the approved budgets.
  • Responsible for developing an engagement strategy and work with the team and discipline leads to execute it, involving people at the optimal levels for project success and overall account utilization (goals, deliverables, schedule, budget, resource).
  • Provide guidance on program strategy with consensus from key stakeholders.
  • Strategic involvement from inception to completion.
  • Early involvement, assisting with gathering requirements, documenting statements of work, creating estimates and timelines.
  • Manage the teams and the process on all jobs from a top-level and serve as an escalation point for issues as they arise.
  • Develop working relationship with stakeholders on a regular basis, ensuring understanding of each project and satisfaction with the production process.
  • Understand the capabilities and limitations of each member involved on any particular job.
  • Communicate project production status directly to the Business Director, communicating mid- to high-level project and overall program health.
  • Track and report on individual project and overall program financial status.
  • Help build, develop, and encourage new productions processes for designers, developers, and producers in order to accommodate expansion of the company services and new types of work.
  • Oversee the development and documentation of project parameters including scope, schedule, budgets, specifications; assist project managers in creating, updating and monitoring project plans for all projects.
  • Closely monitor budgets, establish project plans and processes to avoid and/or resolve scope creep, budget overages, or efficiency issues.
  • Assist business analysts in creating detailed project (creative, multimedia, technology, etc.) requirements through discussions and meetings with internal project team members across all departments; including functional specifications, creative briefs, and wireframes.
  • Conduct and lead kick-off and status meetings regularly with clients and the internal team, ensure thorough communication with all stakeholders at all stages of every project.
  • Proactively communicate with teams about recommendations, risks, challenges and solutions.
  • Apply change, risk, and resource management.
  • Contribute to ongoing improvement of internal processes to allow for smooth execution of projects and improved efficiency across departments and project team members.
  • Cultivate and demonstrate an interest and awareness of trends and best practices.
  • Resolve team conflict.
  • Resolve and escalate project scope issues.
  • Communicate cross-disciplinary project and program issues, milestones, and needs.

  • Oversee and Improve Key Deliverables / Processes.
  • Contribute to ongoing improvement of internal processes to allow for smooth execution of projects and improved efficiency across departments and project team members.
  • Serve as point of escalation on specific, key projects across an account.
  • Cultivate and demonstrate an interest and awareness of trends and best practices as related to the digital space.

Skill & Abilities Requirements:

  • A Bachelor's degree and at least eight (8) years of hands-on project management / producing experience in the interactive field. Agency experience a must.
  • Demonstrated experience running large engagements with Fortune 500 clients or equivalent experience.
  • Experience managing web technology, back-end, application and hosting-related projects as well as mobile, social, SEO/SEM and display campaigns.
  • Experience managing large interdisciplinary teams spanning several offices, countries and time zones.
  • Strong understanding of digital technologies and trends.
  • Experience with Agile/Scrum methodology.
  • Ability to qualify innovative ideas with top-notch research and industry knowledge.
  • Excellent oral, written, and presentation communication skills.
  • Must be extremely organized, detail-oriented and capable of self-managing and multi-tasking in a fast-paced, demanding environment.
  • Ability to apply critical and strategic thinking.
  • Excellent problem-solving skills.
  • Stress-tolerant, quick thinking and accurate.
