What it is:

We are looking for an exceptional Program Manager to join our Project Management department in our head office in San Diego, CA. The ideal candidate will have the specific experience and desire to work directly with top tier clients managing complex projects ranging from enterprise platforms to application development.

The Program Manager leads a team of Project Managers in the department, supporting and mentoring them, allowing them to succeed, helping them maintain, strengthen, and grow relationships with key clients. The Executive Producer is responsible for guiding the development of projects to ensure they are completed on time, within budget, and at the highest level of quality. Additionally, the Program Manager will be responsible for handling and managing one or more large, high-profile projects and/or client relationships, as well as overseeing all projects under that relationship.

The Program Manager must have an eye for great creative work and for talent, be able to identify and sell through innovative ideas to the client and be a superior as well as inspirational leader on both client and internal sides of the fence.

The Program Manager reports to the VP of Program Management and will play an important role in developing and leading internal initiatives to improve processes across all areas of Production, and will have direct input and impact, along with the other Managers to define and implement improvements in the Project Management department.

What you do:

Manage a Team of Project Managers

  • Possess a good and current understanding of each project managed within your team including status, next steps, outstanding issues to resolve, internal and external challenges, client temperature and up-sell/strategy opportunities.
  • Assist Project Managers and/or Associate Project Managers on their accounts; provide mentoring, training and best practices recommendations.
  • Provide clear guidance and advice to your team, help isolate areas of risk that would otherwise go unnoticed and provide techniques and suggestions to improve certain aspects of their day-to-day jobs or their overall approach to project management.
  • Monitor your team’s overall bandwidth and workload; ensure optimal efficiency while protecting their work/life balance. Help with account and/or project assignments across the department.

Manage One or More Key Projects and act as Program Manager on Accounts

  • On a project level, the Program Manager plans, schedules and controls project activities, applying creative and strategic thinking, technical and project management skills to satisfy project requirements.
  • On an account level, the Program Manager oversees delivery and production across all projects within a client engagement. The lead producer on each of those projects report into the Executive Producer for the duration of the project
  • Accountable for the execution, management and quality control of projects from concept to completion, ensuring client satisfaction, meeting all timeline milestones and delivering within the approved budgets.
  • Responsible for developing an engagement strategy and work with the team and discipline leads to execute it, involving people at the optimal levels for project success and overall account utilization (goals, deliverables, schedule, budget , resource)
  • Strategic involvement from inception to completion
  • Early involvement, assisting sales with gathering requirements, documenting statements of work, creating estimates and timelines.
  • Manage the production teams and the process on all projects from a top-level and serve as an escalation point for client and internal issues as they arise.
  • Develop working relationship with clients on a regular basis, ensuring clients’ understanding of each project and satisfaction with the production process.
  • Understand the capabilities and limitations of each member involved on any particular job
  • Communicate project production status directly to the VP of Program Management.
  • Help build, develop, and encourage new productions processes for designers, developers, and producers in order to accommodate expansion of the company services and new types of work sold.
  • Develop and document project parameters including scope, schedule, budgets, specifications; create, update and monitor project plans for all projects.
  • Closely monitor budgets, establish project plans and processes to avoid and/or resolve scope creep, budget overages, or efficiency issues.
  • Creating detailed project (creative, multimedia, technology, etc.) requirements through discussions and meetings with internal project team members across all departments; including functional specifications, creative briefs, and wireframes.
  • Conduct and lead kick-off and status meetings regularly with clients and the internal team, ensure thorough communication with all stakeholders at all stages of every project.
  • Ability to perform and/or coach others in the Scrum Master role for specific projects, including leading and moderating all Agile ceremonies.
  • Proactively communicate with clients about production recommendations, risks, challenges and solutions.
  • Actively own and be accountable for client relationships, with special attention to profitability, tracking and managing resource consumption, financial reporting and billing.
  • Pro-actively grow client relationships by understanding and being sensitive to all aspects of their business, pro-actively determine needs to propose appropriate solutions and new projects that fit within their budgets.
  • Contribute to ongoing improvement of internal processes to allow for smooth execution of projects and improved efficiency across departments and project team members.
  • Assist Producers and Associate Producers on other accounts; provide mentoring, training and best practices recommendations.
  • Serve as point of escalation both internally and with clients on specific, key projects or accounts.
  • Cultivate and demonstrate an interest and awareness of trends and best practices as related to the Internet.

Oversee and Improve Key Production Deliverables / Processes

  • Contribute to ongoing improvement of internal processes to allow for smooth execution of projects and improved efficiency across departments and project team members.
  • Serve as point of escalation both internally and with clients on specific, key projects or accounts.
  • Cultivate and demonstrate an interest and awareness of trends and best practices as related to the digital space.

What you need:

  • A Bachelor's degree and at least six (8) years of hands-on project management / producing experience in the interactive field. Agency experience a must.
  • At least six (6) years experience in a client services / account management role, working with and delivering to external clients.
  • Demonstrated experience running large engagements with Fortune 500 clients or equivalent experience
  • Experience managing web technology, back-end, application and hosting-related projects as well as mobile, social, SEO/SEM and display campaigns.
  • Experience managing large interdisciplinary teams
  • Strong understanding of digital technologies and trends.
  • Must have Agile Project Management experience.
  • Scrum Certification a plus.
  • Ability to qualify innovative ideas with top-notch research and industry knowledge
  • Excellent oral, written, and presentation communication skills.
  • Must be extremely organized, detail-oriented and capable of self-managing and multi-tasking in a fast-paced, demanding environment.
